Privacy Policy for Clinical Wallet

1. Licensed Use of Clinical Wallet? - mobile app and website (the “Application”), by Vestigo Health Solutions LLC (“Vestigo”), is a downloadable secured mobile application/ facilitating subscription-based Software as a Service (SaaS) designed for tracking and storage of student clinical compliance or health safety documentation for healthcare education programs. The Application is installed on a user’s mobile device or accessed via the desktop. A subscription allows enrolled students to connect the Application to Vestigo’s Cloud-based dedicated server hosted on Amazon Web Services (AWS) to upload/store clinical required documentation for program verification. Program/School personnel (“Administrators”) track, approve, and verify student clinical compliance documents that they deem meet the program guidelines to participate in clinical practice rotations at partner healthcare facilities for the duration of the School/Program’s clinical term. All Administrators are registered, authenticated, and managed in the system by designated School/Program Contact. All student access and document storage by the application or website is transmitted to Vestigo’s secure Cloud-based Server with end-to-end encryption using an available data connection. All archived data is secured with SHA-2 and 2048-bit encryption and upon expiration of subscription as inactive data and removed permanently from all servers student subscription expires. Schools/Programs contract with Vestigo to require licensed users to upload specific clinical requirements in Clinical Wallet for validation purposes, verification of data, and confirm compliance for a 1-year subscription length and/or desired renewal depending on the length of program required.

3. Collected User Data: Clinical Wallet? uses the data we collect to provide you with a seamless, interactive experience within our platform. Students will self-register during Sign up steps to provide student information. The data we collect includes user/student name, professional email, school/program, postal code, phone number, and unique student or school ID (collectively, “Student Information”). Vestigo uses student Information collected from users solely for the purpose of providing product services, authenticating student login credentials, and facilitating 1:1 communication between administrators and students for reasons related to School/Program compliance documents in the application.
In particular, here are ways we use this data:
For transmission, individual storage of documents, and backup storage on Vestigo server(s) and to avoid duplication.
Verify student documents required for clinical participation, provide tracking of clinical documentation for Schools/Programs.
Provide Support, login validation purposes, perform administrative maintenance, validate user documents, communicate with users for various reasons related to our services, and carry out transactions users may request.
Improve and develop enhancements for our products
Vestigo does not ever sell, share, or market Student Information with third parties. We restrict internal company access of Student Information to vetted employees of Vestigo Health Solutions. Students/users are accountable for uploading their own required documents in Clinical Wallet as defined by the school/program. Failure to upload does not hold Vestigo Health Solutions liable for the user’s overall program success/participation.
4. Payment/REFUNDS: PayPal or Amazon payment gateway is used to collect payment of subscription and upgrade fees for Clinical Wallet subscriptions. Current subscription rates are based on the number of documents uploaded and the total capacity of storage. No student financial data is collected or stored on ClinicalWallet.com domain or any affiliate domains or servers. 5. Camera Access: Clinical Wallet apps from Apple App Store and Google Play will prompt for confirmation to request access to the device Camera or Gallery, only for the purpose as outlined in this policy to facilitate the Clinical Wallet services of uploading required documents on-demand. (Please see your device’s Settings>Privacy to update camera access settings)
6. Profile: Users may access and update their profile in the app/desktop to edit personal information provided but must contact Vestigo directly to edit school/program to avoid account duplication and maintain continuation data storage for the linked school.
7. Policy updates: Users will receive notification via email of any changes in this privacy policy and the use of the user’s personally identifiable information. To access updates go to https://www.ClinicalWallet.com/Privacy-Policy
8. Deletion: Data records will be purged and permanently deleted from the server(s) within (90) days of account expiration. It is the responsibility of users to maintain the Clinical Wallet subscription for continued storage and to manage current clinical compliance documents that may expire.
Account Deletion: In accordance with the respective App Store guidelines, the ClinicalWallet App supports Student account creation and allows Student Account deletion from within the TracPrac app. Account deletion is applicable for student accounts beginning Nov 1, 2023.
Except as otherwise stated in the privacy policy, Vestigo will retain all student user data as long as needed for your school/clinical education requirements to provide the services or fulfill the purposes for which it was collected. Vestigo provides separate secure cloud storage for ongoing archive data access or can provide zip files for Schools to download all files at the end of each semester for their own discretionary storage. Student and School users have the ability to export/download their own data as often as they choose. If Schools/programs prefer not to store data in the Vestigo Archive Storage, users may download their own personal data at any time. A written request to Vestigo is required for any data to be permanently deleted from any Vestigo servers after each respective term of service. *Student Users have their own access to download all reports/portfolio documentation necessary for personal records, State Boards of Nursing, and/or employment agencies prior to account deletion.
Impact of account deletion within ClinicalWallet:
Student Users: From within the Clinical Wallet App>Settings, students may choose “Delete Account” at any time to permanently delete their profile with all associated clinical documents from all Vestigo servers within 30 days of confirming the action. Student User may abort deletion by clicking cancel if account deletion is clicked by the student in error. (Instructor account creation is not supported and Instructor profiles are created by the school administrator so Instructor Accounts must also be deleted by the school)
ClinicalWallet software is provided as a service for Schools and Students to collect required clinical requirements for the purpose of clinical compliance. *Vestigo respects user privacy and does NOT sell, nor share any information to third parties. Authorized, vetted employees of Vestigo have restricted access to user data for support purposes.
If Account deletion is confirmed, the Student User is responsible for downloading all reports/portfolio documentation necessary for schools, State Boards of Nursing, and/or employment agencies prior to account deletion. Account Deletion cannot be restored after 30 days. (see steps below)
To recover/restore a Student account: Student users must cancel Account Deletion to restore the profile and associated data by selecting Cancel or may log into the account profile before the 30 days have elapsed. (see steps below)

To Delete Clinical Wallet Student Account, follow this process. NOTE: Completing this process will permanently remove your student account and all clinical data.
*NOTE: Please contact your School Administrator or Course instructor to alert them of deleting your Clinical Wallet profile in case the school needs copies of your Clinical records.
Login to the Clinical Wallet mobile app (IOS or Android)
From the Menu, Open Settings
3. Click Delete Account under the Profile option
5. READ the confirmation message, and Click DELETE ACCOUNT to begin the deletion process
6. You will receive a confirmation email including the Delete Account confirmation Date, sent to the address used in your Clinical Wallet profile (school email or personal email).
To Restore/Recover Clinical Wallet Student Account, follow these steps:
IMPORTANT-Time Senstiive
If Delete Account is clicked by mistake, click CANCEL to exit the deletion process and return to using the app.
If you Confirm Delete Account, Login to the TracPrac App immediately before 30 days or scheduled deletion date to restore and recover your account profile and all data.
Email TracPrac Support at Support@ClinicalWallet.com or Info@vestigohealthsolutions.com to request to restore your account BEFORE 30 days ( or scheduled deletion date).
9. Security: Our website and registration are secured with an SSL certificate and encryption with WAF (firewall). Registration requires User authentication via email. Our Website is hosted in a cloud-based server (AWS) and provides SHA-2 and 2048-bit encryption (highest available) to protect content.
10. Transfer of Ownership: If there is a change in business ownership of Clinical Wallet: Users expressly consent to Vestigo Health Solutions to transfer user information/archives to a new owner or successor entity as set forth in this policy to continue providing the application and services.
11. Text Messaging: By Creating a ClinicalWallet Account, users agree that Support services may send non-marketing text (SMS) messages as part of the normal business operations of use for ClinicalWallet/Vestigo Services. Users may opt-out of receiving text (SMS) messages from ClinicalWallet/Vestigo at any time by contacting us directly with a written request to Support@ClinicalWallet.com. Users acknowledge that opting out of receiving text (SMS) messages may impact your use and level of support from our ClinicalWallet/Vestigo Services. Frequency: the number of text (SMS) messages may vary depending on your account activity and communication with ClinicalWallet/Vestigo Support.
